Terms & conditions
The agreement, in plain terms.
Last updated October 7, 2026. These terms govern your use of ScanPortal Pro. By creating an account or buying a bundle, you agree to them.
The service
ScanPortal Pro is documentation software for Arizona residential rentals. Tenants complete timestamped, hash-sealed, optionally location-tagged move-in and move-out scans; landlords and property managers receive the sealed reports automatically. ScanPortal Pro is not a law firm and does not provide legal advice; using it does not create an attorney-client relationship.
The service is designed for residential tenancies in Arizona governed by the Arizona Residential Landlord and Tenant Act. Other tenancy types and jurisdictions are governed by different statutes and deadlines, and the timelines the app computes may not apply.
Accounts and access
- You must be at least 18 years old to create an account.
- You are responsible for the accuracy of the information you enter — including the landlord email on a property, which determines who receives the sealed report.
- Landlord portal access codes are issued to the purchasing email address and can only be redeemed by an account signed in with that same email address.
- Keep your credentials secure. You are responsible for activity that happens under your account.
Billing and refunds
- Bundles are sold as one-time purchases; Landlord Unlimited is a yearly subscription. First-year pricing applies to a buyer's first Unlimited purchase; renewals bill at the then-current standard rate.
- Payments are processed by Stripe. We never see or store your card number. Cancelling an Unlimited subscription keeps access until the end of the paid year.
- Refunds are handled case by case at our discretion. Where a refund is issued for a bundle or subscription, the associated access and entitlements are revoked.
- We may change prices for future purchases and renewals; we will not change the price of a period you have already paid for.
Evidence limits
Every uploaded media file is hashed with SHA-256 and a report-level hash is computed when the report is sealed, so tampering after sealing is detectable. Hashing demonstrates integrity — that a file has not changed since it was recorded. It does not, by itself, prove when or where a photo was originally taken, who took it, or what a room looked like. Location is device-reported, may be unavailable or inaccurate, and is not independent proof of capture location.
Reports, letters and comparison flags are generated from the facts and amounts entered by users. We do not verify the accuracy of those entries and make no representation that a deposit report will be admitted as evidence in any proceeding. Admissibility is decided by the court.
Acceptable use
- Do not upload media of a property or person you have no right to document.
- Do not attempt to access reports, media or accounts that are not yours.
- Do not misuse the verification or share features to misrepresent a report, its status or its contents.
- Do not scrape, reverse-engineer, or attempt to disrupt the service or its infrastructure.
Disclaimer, liability and warranty
The service is provided "as is" without warranties of any kind. To the maximum extent permitted by law, ScanPortal Pro's total liability arising out of or relating to the service is limited to the amount you paid us in the twelve months before the claim, and we are not liable for indirect, incidental, special or consequential damages — including lost deposits, lost profits or legal costs.
We may suspend or modify the service, but material reductions to paid features will be communicated in advance.
Termination
You may delete your account at any time, which removes your reports, media and shares. We may suspend or terminate accounts that violate these terms, with notice where practicable. Sections that by their nature should survive termination (billing records, limitation of liability) will survive.
Governing law
These terms are governed by the laws of the State of Arizona, without regard to conflict-of-law rules. Any dispute will be resolved in the state or federal courts located in Maricopa County, Arizona.
