Can I charge the scan cost back to my tenants?
Yes. Most landlords treat the $14.99 move-in scan like an application or admin fee and collect it at lease signing. The tenant gets their own copy of the sealed report, so both sides benefit from the same evidence.
I manage multiple units — how does ScanPortal Pro scale?
Landlord Unlimited covers every unit you manage for $75 your first year, then $150/year: unlimited tenant scans, reports, disputes and response letters, plus a portfolio dashboard showing each property's report status at a glance.
How does a sealed report protect me in a deposit dispute?
Scan files have SHA-256 hashes and timestamps, plus device-reported location when available. The shared record helps both parties compare documented condition. Hashes help detect later file changes but do not prove the original scene or metadata; legal outcomes are not guaranteed.
What are my deposit obligations under A.R.S. § 33-1321?
Within fourteen days, excluding Saturdays, Sundays or other legal holidays, after termination of the tenancy, delivery of possession and demand by the tenant, the landlord must provide an itemized list of deductions and any amount due. Unless the tenant makes other arrangements in writing, these must be mailed by first class mail to the tenant’s last known residence. Under § 33-1321(E), noncompliance can result in money due plus damages equal to twice the amount wrongfully withheld.
Can I deduct for normal wear and tear?
No. Arizona landlords may deduct for unpaid rent and damage beyond ordinary wear and tear. A sealed move-in report next to the move-out report shows exactly what changed, so legitimate deductions are easy to defend.
How do tenant scans reach me?
Add the unit with your email. Your tenant completes the guided room-by-room scan in their own free portal, and the moment it is sealed the report is sent to you automatically. The tenant keeps a sealed copy too.
How does ScanPortal Pro make a record tamper-evident?
Each photo is hashed with SHA-256 at upload and stored privately. The report itself carries an overall hash derived from every media hash in order. Changes to hashed content change its fingerprint. Hashes do not independently establish when or where a photo was taken, or whether its content is accurate.
Do I need to do anything when a tenant seals a report?
No. The sealed report lands in your landlord portal and your inbox automatically. You can accept it with an electronic signature or note anything you dispute, and both are stored with the report.
Is my electronic acceptance legally binding?
Electronic signatures are generally enforceable in Arizona under the Arizona Electronic Transactions Act and the federal ESIGN Act. ScanPortal Pro records your typed name, timestamp and IP address alongside the report.
What should I check at move-out?
Compare the tenant's move-out scan room by room against the sealed move-in report: floors, walls, ceilings, windows, doors, appliances, plumbing fixtures and HVAC filters. Deduct only for damage beyond ordinary wear and tear, and list each item on the itemized statement.
